Complaints Process

If you have a complaint or concern that you would like to raise with the club committee about a team, individual, or process.

You can contact either:

  • The Club Secretary at kkfcsec@gmail.com, or
  • The Club President at kkfcpres@gmail.com, or
  • The Junior & Youth co-ordinator at katikatijuniors.reg@gmail.com, or
  • Any other coach or committee member you feel comfortable talking to.

When reporting an issue, we understand that it can be scary to report it, hoping to avoid repercussions against yourself or your child.
If there is a specific person you would like us to avoid talking to about this, please let us know.
We also ask you to respect the privacy of the person involved, so that we can resolve the concern in private.

Wherever your concerns go, we generally follow a similar pattern.

The person you raise your concerns with identifies which team is related and ensures that they do not inadvertently tell the person it relates to.
They then gather a very small group of committee members who discuss the issue in confidence and report back to you what their intended actions might be.
Generally, that group includes the Club President, the Club Vice President, the Club Secretary, and the Junior/Youth Coordinator (unless the concern is about one of these people)

Preferably, we ask that you write down your concerns, so that we are clear on what the issue is and there is nothing missed.
However, if you feel more comfortable talking in person or over the phone, you are welcome to ask for that.

At all times, we keep you informed and, wherever possible, give you a say on whether we take any specific actions or not.
If we feel that any concerns cross a line that should involve the police, we may be required to report the issue.
If we feel that the concern raises an ongoing or immediate risk to other members, we may be required to step in quickly.

If you are happy for us to talk to the coach/person, we will bring it up with as much confidentiality as possible.
Where you are not happy for us to talk to the coach/person, we try to have it as more general behavioural instructions across the club, while keeping a closer eye on the concern to ensure that it does not repeat.
In cases where you feel that you don't want the details communicated to the person, we may use the concern as an influence in who we might appoint as a coach/manager, or how a team is put together for next season.
